3. When we collect your personal data
You may choose to give us personal data directly in a variety of situations:
- When you complete a contact form on our website
- When you download content from our website
- When you register to attend, or attend, one of our events
- When you apply for a job with us
4. What personal data we collect
We collect your name, email address, details of your organisation and whether you would like us to contact you with other material. We may also collect your job function, seniority and the sector in which you work. We collect this data to ensure we send you appropriate content which is relevant to you.
5. How we use your data
5.1 Anonymous data collection
When someone visits our website we use analytics services to collect anonymous technical data on how visitors interact with our content. This information is processed in a way which does not identify individuals.
We may log certain information that your browser sends, such as your IP address, browser type, access time, and referring website addresses. We do this to understand how visitors use our site and to improve the experience.
5.2 When you interact with us
Should you choose to interact with us — for example by submitting a contact form or registering for an event — we will process your personal information through our Customer Relationship Management (CRM) system, HubSpot.
HubSpot may track whether you have opened an email or clicked a link, allowing us to collect statistics about the effectiveness of our communications and personalise our interactions with you.
Information collected directly or indirectly may be combined to fulfil a request from you, improve data accuracy and website performance, and better tailor our interactions with you.
5.3 Job applications
When you apply for a job, the personal data in your application will be processed solely for managing our recruitment activities — including setting up interviews, evaluating assessments, and as otherwise needed in the hiring process. This processing is legally permissible because it is necessary for the legitimate interests of Agilisys in the solicitation, evaluation, and selection of applicants.
6. How we protect your personal data
We take appropriate steps to protect your personal data. Our site uses HTTPS encryption and we regularly monitor our systems for vulnerabilities and attacks.
We have procedures to deal with any suspected personal data breach and will notify you and the Information Commissioner’s Office where we are legally required to do so.
7. How long we keep your personal data
7.1 Marketing
Where you have interacted with us, we will keep your data for marketing purposes for up to three years after you give consent or after your last interaction with us, whichever is sooner. At the end of this period, we will delete your data.
7.2 Former clients
We keep the contact details of representatives of former clients for three years from the date the client relationship ends, to assist in performing any continuing obligations under our contracts.
7.3 Job candidates
Your personal data will be retained as long as we determine it is necessary to evaluate your application for employment.
8. Who we share your personal data with
We use HubSpot to securely hold and process marketing data. Our licence agreements with HubSpot include provisions to protect your data.
Agilisys has contracts with third-party service providers who provide specialist services. These third parties process personal information in accordance with our instructions and are required to put in place appropriate security measures.
If you apply for a job, your data may be stored on servers operated by our recruitment software provider. Appropriate safeguards are in place for any international data transfers.
We will never share your personal data with any third parties not mentioned above without your explicit consent.
9. Legal basis of processing
Data Protection Law requires us to meet at least one legal ground for processing. The grounds applicable are:
- Contract: where processing is necessary to perform a contract with you, or to take steps at your request prior to entering a contract
- Legal obligation: where processing is necessary for compliance with a legal obligation to which we are subject
- Legitimate interests: where processing is necessary for our legitimate interests or those of a third party, except where your rights and freedoms override those interests

You also have the right to lodge a complaint with the Information Commissioner’s Office if you are concerned that we are not respecting your rights under Data Protection Law.

10.2 Legitimate interest
Where you have previously expressed an interest in our services, interacted with us through an event or content, or had some form of relationship with Agilisys, we have determined there is a legitimate business interest to continue updating you with information about our services.
