How an NHS Integrated Care Board cut board meeting preparation from three days to 30 minutes — and became a pioneer for GenAI in the public sector.

Humber & North Yorkshire ICB is a partnership of health and care organisations dedicated to improving the region’s health and wellbeing. Its secretariat team supports the board and committees through agenda preparation, minute-taking, report drafting, and correspondence management.
The team faced a common public sector challenge: delivering high-quality governance efficiently while managing limited resources. Meeting minutes alone — preparing for, transcribing, and writing up monthly board meetings — consumed three days of work for a single secretariat member each month.

Since November 2023, the ICB has been using the Agilisys Minutes Agent to streamline business administration. Using transcripts and supporting information — agendas, board papers — the tool generates an initial draft of minutes according to the ICB’s reference template.
Every output captures detailed discussion points, conflicts of interest, outcomes, and actions. The secretariat reviews and refines, but the heavy lifting is done.
Agilisys worked closely with the ICB secretariat team through onboarding workshops and regular working group sessions to fine-tune prompts, develop reference data, and achieve outputs aligned with best-practice governance minutes.
